Job Description:

Reception Team Members welcome guests as they arrive at the Hotel. Their duties include checking guests in and out, issuing keys, taking reservations by telephone or email, preparing bills and dealing with payments. They provide guests with information, answer their queries and deal with complaints. The Reception Team Members also provide a clear line of communication to all departments to ensure guests have the most enjoyable stay.

Job Duties

Key Responsibilities for Reception Team Members:

· Dealing with enquiries and room reservations made via telephone, online or email.

· Greeting guests as they arrive at the hotel.

· Checking in guests using our online booking system, ensuring all details are up to date and in line with GDPR.

· Showing guests to rooms and explaining all amenities of the hotel and the bedroom en-route.

· Keeping accurate records of all future, past and current guests.

· Understanding all available packages and offering to assist with enquiries.

· Forward checking reservations to prevent any errors or omissions.

· Forwarding any necessary information to the relevant departments (Housekeeping, Accounts, Restaurant, Kitchen & Management).

· Providing guests with information about local attractions and places of interest, or nearby activities.

· Ensuring any additional extras for rooms are charged and ordered correctly (newspapers, flowers, taxis, etc.).

· Dealing with bills on the morning of check out to ensure accounts are settled prior to departure.

· Dealing with any post for staff, or guests. Signing for parcels and ensuring they are received by the intended recipient.

· Utilising sales skills and knowledge to upsell to a higher category or an additional night.

· Taking Lunch, Afternoon Tea, or Dinner reservations from guests.

· In the event of an emergency, assisting the Duty Manager with evacuating the hotel and communicating with the emergency services.

· Cash handling and reconciliation.

Key attributes for Reception Team Members:

Good clear communication both verbal and in writing with a good telephone manner.

Good IT skills and a competent user of Microsoft Office.

12 months administration experience.

A polite and professional manner.

A high standard of personal presentation.

Previous experience on Rezlynx or other online booking platform.

Excellent customer service skills with experience of dealing with complaints.

A calm and well organised approach to often competing work priorities with a good attention to detail.

Experience taking payments.
